Construction

ERP software for construction contractors

Track the budget, cost, guarantees given and received, advances and employer collections of every contract you sign with public and private employers, together with your accounting records.

Budget, guarantee and cash control by job

In contracting, profit is set at the bid stage, then protected or lost on site. Bid and performance bonds tie up bank limits, advances from the employer are offset against progress payments, and guarantees taken from subcontractors are held until the work is complete. A contractor running several jobs at once who cannot see these items job by job lets a cash squeeze grow unnoticed.

In Factorbooks Autonomous ERP, every tender or contract is opened as a project. Purchases, subcontractor invoices, payments, advances and guarantees are linked to the project, and collections from the employer are tracked in project collections. Progress payment measurement and calculation are not part of Factorbooks: the invoice for an approved progress payment is issued in Sales Management, and data can be exchanged with your progress payment software through the API in Integration Management. Project Management is included in VECTRA and ABM packages.

Key benefits for contracting firms

  • Budget and cost by job

A project budget is set for each tender, and materials, subcontractor, machinery and site expenses accumulate in the project cost.

  • Letters of guarantee given

Bid, performance and advance payment guarantees and cash deposits are tracked by project and due date; refunds are recorded separately.

  • Guarantees from subcontractors

Letters of guarantee and cash deposits received from subcontractors and suppliers are held in Project Guarantees Received.

  • Advance visibility

Advances received from the employer and paid to subcontractors are recorded as project advances and appear in project transactions.

  • Price escalation and withholding

Price escalation amounts are billed with Price Difference Invoices, and the VAT-2 return for withholding transactions is prepared in Tax Management.

  • Many jobs, one cash plan

The payment and collection load of all jobs is shown together in the Cash Flow Forecast, with loans, cheques and notes managed on the same platform.

Project and Job Management

Open each job on a project card; project budgeting, costing, sales, purchases, collections and payments come together in project transactions. Contracts, specifications and minutes are stored in Project Documents, and completed jobs are closed with Project Closure.

Guarantee Management

Track letters of guarantee given and received, cash deposits and cash deposit refunds. Guarantee Management is included in SYNTRA and higher packages; guarantees linked to a project also appear in Project Management.

Advance Management

Track order advances received from the employer and paid to subcontractors separately from work advances given to site managers. Advance and expense approvals run through Approval Management.

Subcontractor and Procurement Management

Request quotes from subcontractors, evaluate them and monitor supplier performance. The flow starts with a purchase contract and order and is posted to expenses through services received, incoming e-Invoices and self-employment receipts.

Plant and Assets

Register construction machinery and vehicles as fixed assets, leased assets or vehicles. Moves between sites are tracked with asset movements, and the period charge with depreciation entries.

Finance, Loans and Cash Flow

Manage instalment, spot and revolving loans, loan instalments, cheques and notes, and bank movements. The Cash Flow Forecast shows the payment and collection calendar of all jobs in one view.
