The Perpetual Inventory System applies the perpetual inventory method: every stock movement recalculates quantity, unit cost and stock value, and the cost of goods sold reaches accounting at the moment of sale. Stock information stays current with the daily flow of the business.

With the periodic method, stock value and the cost of goods sold are only known after the period-end count. In the Perpetual Inventory System, which applies the perpetual method, they are updated with every movement.
| Periodic inventory | Perpetual Inventory System | |
|---|---|---|
| Stock quantity | Confirmed by the period-end count | Current with every movement |
| Stock value | Calculated at period end | Visible item by item at any time |
| Cost of goods sold | Found in total at period end | Calculated per sale, at the moment of sale |
| Gross profit | Cannot be measured before closing | Tracked at the moment of sale |
| Count differences | Investigated after the fact | Seen immediately against the system balance |
| Period-end workload | Heavy | Lower; closing is faster |

Perpetual inventory is a method; the Perpetual Inventory System applies it and treats stock, cost and accounting as parts of the same movement, not as separate tasks.
A stock movement such as a purchase, sale, return, transfer between warehouses or count difference is posted item by item.
The item’s stock quantity, unit cost and stock value are updated with the movement.
The movement’s journal entry is created; for sales, the cost of goods sold is posted at the moment of sale.
The inventory list, stock value and profitability can be tracked without waiting for period end.

Because the cost of each sale is calculated, gross profit is tracked per sale.
Each item’s receipts, issues and balance are kept chronologically in the system.
The stock balance and accounting entries are fed by the same movement.
The need for bulk cost calculations at period end is reduced.
Count differences and adjustments can be explained against the system balance.

Yes. A physical count is how you verify the system balance. With the perpetual method, the count result is compared with the system balance and differences are visible immediately.
The Perpetual Inventory System is a feature of the General Accounting Management module and is included in all packages, from NUCLEO to ABM IMPERA.
During the transition, opening stock quantities and values are transferred to the system. The scope and method of data migration are agreed together in the needs analysis.
