ERP for MEP, electrical, painting and finishing contractors

Bring the quote you give the main contractor, the material issued to the job, crew labour, retentions and collections into one record, and see what each job really earns you.

Close the gap between quote, materials and collection

MEP, electrical, painting, insulation and finishing firms usually work as subcontractors to a main contractor. A unit-rate quote based on a site survey, quantities that change on site, fast-moving materials such as cable and pipe, crew labour and the retention held by the main contractor all meet in the same job. When payments run late and deductions grow, scattered records mean a loss-making job is spotted too late.

In Factorbooks Autonomous ERP, quotes and sales contracts sit in Sales Management, material stock in Materials & Warehouse Management, and crew wages in Human Resources. In VECTRA and ABM packages each job is opened as a project and costs accumulate on it. Smaller teams can use guarantee and advance tracking in SYNTRA, and quote, contract and stock processes in MOTIVA.

Key benefits for specialty subcontractors

  • From survey to quote

Unit-rate quotes are prepared with Sales Quotes after the site survey, and the accepted quote is recorded as a sales contract.

  • Van and crew stock

Service vans and crew stores are set up as separate warehouses; material movement is tracked through warehouse transfers and stock movements.

  • Cost by job

In VECTRA and ABM packages, materials, labour and services received accumulate in the project cost and are tracked against the project budget.

  • Retentions held

Retentions deducted by the main contractor are tracked as cash deposits, and their release is recorded when the job is complete.

  • Paying tradespeople and crews

Payroll for employed crews is prepared in Human Resources; expense vouchers or self-employment receipts are issued for freelance tradespeople.

  • Serial and lot tracking

Serialised items such as boilers, air conditioners and switchboards, and batch-based paint and insulation materials, are tracked with serial and lot details.

Featured industry-specific solutions

Quotes, Contracts and Invoicing

Prepare unit-rate quotes from sales price lists; customer-specific prices are available in SYNTRA and higher packages. Record the job with a sales contract and order, issue e-Invoices to main contractors and e-Archive invoices to private customers, and raise price difference invoices in the same module.

Materials, Warehouse and Purchasing

Define materials such as cable, pipe, paint and insulation board with unit and brand details. Purchase orders, incoming e-Waybills and goods receipts are posted to the main warehouse and transfers to crew and van stores; count differences show up in stock counts.

Job-Level Project Tracking

Open each job as a project; the project budget, purchases, payments and collections come together in project transactions, and handover records are stored in Project Documents. Project Management is included in VECTRA and ABM packages.

Guarantees and Advances

Track cash retentions held by the main contractor, letters of guarantee you provide and cash deposit refunds. Order advances received and work advances given to crews are kept in Advance Management; both modules are in SYNTRA and higher packages.

Crews, Payroll and Services Received

Manage personnel files, wage accruals and payroll for tradespeople and apprentices; social security premium payments and the withholding return are prepared on the same platform. Outsourced labour is posted to expenses through services received and self-employment receipts.

Collections and Account Tracking

Track main contractor accounts and the cheques and notes you receive by due date, and reconcile balances with e-Reconciliation. Card payments from private customers can be taken through Factorbooks Virtual POS.
